SIOP Launches New Governance Page

Consolidated Portal Now Houses All Society Policies, Guidelines, and Procedures

SIOP is pleased to announce that the organization’s governing documents can now be easily accessed by members via one consolidated portal, the SIOP Governance Page.

This page serves as a resource for the SIOP Executive Board and committees to guide leadership activity and decision making, but it also gives the general SIOP membership a transparent view of the Society’s governing guidelines, policies, position statements, and procedures. The page can be found at the bottom of SIOP’s newly revamped “About Us” page or accessed under the “Membership” dropdown while logged in.

This portal is a culmination of governance management work first initiated by then-President Tammy Allen in 2013. Allen tasked SIOP’s Support, Planning, and Research Committee (SPARC, ad hoc) to develop a 10-year calendar to guide review of processes, structures, policies, statements, and other documents adopted by or on behalf of SIOP.

Allen said she is delighted to see the progress on this initiative. Noting the tremendous growth of SIOP over the last decade she said, “The volume of activity can make it difficult to track what is happening, what requires action, and what is no longer useful. There was a need,” she continued, “for us to develop a mechanism that would enable us to be intentional and consistent with regard to ensuring the currency and usefulness of the society's business. “

Under the leadership of Mort McPhail, then the SPARC Convener, SPARC outlined a “Business Rhythm” review process, approved by the Executive Board in 2014, through which SIOP leadership and administrative staff review governing documents on a regular basis to confirm accuracy and utility in the documents’ descriptions of the organization’s beliefs, principles, and operations.

McPhail is quick to share credit for the success of the project, noting the coordination among Executive Board members and Administrative Office staff. “The SIOP Governance page is the culmination of the work of a lot of folks who contributed time and effort to the development of the process and resulting content.”

He said, “This work would not have been brought to this successful juncture without the diligent and extensive work by Tracy Vanneman of the SIOP Administrative Office.” In particular he cited her close work with the EB, several presidents and the IT staff “to ensure a sustainable evergreen process.”

McPhail believes this portal will be “an enormously valuable resource and one that will serve SIOP for years to come, helping to ensure that we have accurate documentation of our decisions, actions, and policies that is up-to-date and internally consistent.  Many thanks to Tracy and the IT staff for their valuable work,” he concluded.

Although most of the 75+ governing documents have already undergone one or more formal reviews through the Business Rhythm process, the cycle is ongoing. Therefore, the Governance Page is intended to be a “living” portal, with frequent updates made as new Executive Board actions are taken and as documents come due for review or original authoring.

This project highlights a “Team SIOP” effort, as promoted by SIOP President Fred Oswald, in which Executive Board members, committee chairs, and the Administrative Office staff have worked closely together to properly document SIOP’s past, present, and future governance activities.

“The SIOP Governance web page lets our members see under the hood at how SIOP operate across the society, so they can understand better and communicate any ideas for improvement, as well as any concerns,” Oswald noted. “It also allows SIOP to reflect on and review itself more effectively, as all the documents that spell out its practices are usefully centralized. I suspect that SIOP’s backbone will become stronger as a result of how we have restructured our expressed policies and practices.”
