SIOP Annual Conference FAQs

Our goal is to make the following FAQ as thorough and up to date as possible ; however, please note that due to the evolving coronavirus pandemic and its public health and economic side effects, many conference details will remain unavailable until early 2021.

 

As we all understand, our plans and decisions must align with public health recommendations, government mandates, and venue restrictions over our meeting dates, so adaptability, patience, and resilience, both as organizers and as a SIOP member community, will be important as April approaches.

 

When will the 2021 Annual Conference be held?

The conference will be held April 15-17, 2021.

 

What is the format for the 2021 Annual Conference?

The current conference vision is to host one hybrid conference consisting of in-person live sessions at the Hilton New Orleans Riverside, virtual live sessions, and virtual asynchronous sessions.

 

  • In-Person Live sessions from April 15-17 enjoyed by in-person conference registrants at the Hilton New Orleans Riverside, some of which will be live streamed to virtual conference registrants.
  • Virtual Live sessions from April 15-17 enjoyed by in-person and virtual conference registrants, regardless of location (e.g., Hilton New Orleans Riverside hotel room, home, office).
  • Virtual Asynchronous sessions available during and after the conference dates enjoyed by in-person and virtual conference registrants on-demand (similar to the SIOP 2020 offering).

This vision allows registrants to engage with the 2021 conference in the mode that best meets their needs, including health and safety, although we will continue to evaluate the situation as it evolves.

 

What was the process for determining conference session acceptance?

With over 1000 submissions ,the cutoff score for acceptance was set to ensure the same level of quality as in previous years, so many sessions were not accepted. 

What is process for determining conference session delivery format (In-Person Live, Virtual Live, Virtual Asynchronous)?

There’s capacity to place fewer than half of the accepted non-poster sessions into the 3-day Live (In-person or Virtual) formats. The remaining sessions will be available in the Virtual Asynchronous format (similar to the 2020 conference).  Due to the limited capacity for Live formats, some sessions were accepted, but not into their desired format.  The live program was built taking the below characteristics into account: 

  • Ensuring a mix of sessions that indicated they were mostly relevant for Practitioners and Academics
  • Attempting to have a variety of different session types (e.g., alternative, Ignite, debate) and a balance of Panel Discussions and Symposia
  • Including a wide variety of topic areas (e.g., global/international, inclusion, coaching)

We have currently developed preliminary slotting for every accepted session into either a Live (In-Person or Virtual) or Virtual Asynchronous format. However, we recognize that with the evolving coronavirus pandemic and its public health and economic side effects, this will be an iterative process where sessions may need to change format as the conference date approaches.  We intend to be patient and flexible with you as your needs/preferences might shift and we request your patience and flexibility with us as we do our very best to plan and deliver a successful conference.  

What is the registration fee?

Despite the new expenses associated with the hybrid conference model and the complexity of pandemic health and safety plans, registration rates are being held steady at 2020 levels to encourage broad participation by SIOP members.

 

 

Registration includes attendance to any of the Conference sessions, the open receptions, and coffee breaks.

**Guest/spouse rate is for those who are not eligible for SIOP membership and will only be attending sessions presented by their spouse/colleague. Presenters are NOT eligible for this rate, no matter their SIOP eligibility.

When will we be able to register?

Conference registration will open by January 2021.

 

Can we change our attendance preference (live in person, virtual live or virtual asynchronous) after registering?

We understand that attendance plans may need to change, and so we anticipate addressing this question at the time that conference registration opens so that registrants are aware of their options.

 

Do I have to be a member to attend?

SIOP members receive a discounted registration, but all are welcome and membership is not required.

 

When will hotel information be available?

What will my experience be like if I attend in person?

While this conference will be different from our past conferences, you can expect the high-quality, peer-reviewed content, diversity of perspectives and topic areas, and blend of science and practice you’ve come to value. Much of our planning hinges on the number of submissions we receive and the creation of the program; we will share intended plans as they develop. We anticipate being able to share more information about the sessions in January.

 

Due to COVID-19, you can expect physical arrangements that align with public health recommendations that include, for example, session rooms with seats/tables spaced 6 feet apart, rigorous cleaning processes between sessions, special care in food and beverage service and presentation, and facial coverings required on the Hilton property.

 

What will my experience be like if I attend virtually?

You can expect the high-quality, peer-reviewed content, diversity of perspectives and topic areas, and blend of science and practice you’ve come to value. Much of our planning hinges on the number of submissions we receive and the creation of the program; we will share intended plans as they develop. However, we plan to have a full program with multiple sessions live streamed simultaneously during the 3-day conference window (similar in format to how there are multiple concurrent sessions during the in person conferences) in addition to having pre-recorded content available during and following the 3-day conference window. We anticipate being able to share more information about the sessions in early 2021.

 

How long will the virtual asynchronous sessions be available after the conference dates?

Asynchronous content will be available for all conference registrants to access until Friday, May 7, 2021.

 

What if I can only attend virtually, but my co-presenters want to attend in-person?

We understand that mode of participation may need to change (e.g., In-Person Live to Virtual Live) due to the uncertainty of our current environment. Although we are working diligently with the AV company to accommodate “mixed” mode (i.e., 3 presenters In-Person Live and 1 presenter Virtual Live), we appreciate any and all efforts to for presenters to present in the same mode, where possible. In January we will be reaching out to accepted session organizers to obtain information regarding the desired format (in-person live, virtual live, asynchronous).

 

What will Workshops, Consortia, and the Placement Center look like?

We intend to offer Workshops, Consortia, and the Placement Center. Additional information on these offerings will be available by early 2021.

 

What will the Opening Plenary, Closing Reception, and social events (e.g., coffee breaks, receptions) look like?

As we all understand, our plans and decisions must align with public health recommendations, government mandates, and venue restrictions over our meeting dates. We hope to have additional information on these offerings starting in early 2021.

 

How is SIOP handling health and safety?

As always, SIOP takes the health and safety of its members and all who participate in its events very seriously. We are partnering closely with the Hilton New Orleans Riverside and relevant parties to ensure that we understand and can abide by the requirements and recommendations of the venue, state and local government, and public health experts. The option of in-person, live sessions will include social distancing in meeting rooms and common areas and rigorous cleaning processes between sessions. In addition, facial coverings are required at Hilton properties. Just as in pre-pandemic times, we cannot guarantee the complete health and safety of our attendees, but we are taking every reasonable precaution to create a clean, safe, and enjoyable experience for conference attendees and the local community. We will post additional information regarding COVID health and safety plans as the event draws near.
